How to Organise Your Church Media Library So Volunteers Can Actually Find Things

28 Oct 2026 by Charles Say

Most church media libraries start as a Downloads folder and grow from there. Two years later there are four copies of the same loop, three files called "final.mp4", and only one person knows where anything is. The fix is a simple structure agreed once and stuck to. Here's one that works.

One Root Folder, On the Internal Drive

Everything lives under a single folder on the presentation computer's internal SSD — not a USB stick, not a network share, not someone's Google Drive. Call it Worship Media. Presentation software links to files by path, so moving things later breaks cues; pick the location once.

The Folder Structure

Worship Media/
  Lyric Videos/
    [Artist] - [Song Title]/
      1080p/
      4K/
      Alpha/
  Loops/
    Calm/
    Energetic/
    Seasonal/
      Christmas/
      Easter/
  Countdowns/
  Stills and Backgrounds/
  Series/
    2026-09 Series Name/
  Archive/

Two rules make this work. First, sort by how you'll look for it, not by where it came from. Nobody searches "files from that website"; they search "calm loop" or "the song we did last week". Second, Series folders are temporary. When a series ends, move its custom graphics to Archive so the working folders stay clean.

Naming Files

A consistent filename tells you what a file is without opening it. Use this pattern and stick to it:

Artist - Song Title - 1080p.mp4
Loop - Blue Panels 01 - 1080p.mp4
Countdown - 5min - Disco Ball.mp4

  • Resolution in the name, always. It prevents someone dropping a 4K file onto a struggling laptop.
  • No "final", "new", "v2" or "USE THIS ONE". If a file is superseded, move the old one to Archive.
  • Avoid characters that cause trouble on Windows or in URLs: / \ : * ? " < > |

Mirror It in Your Presentation Software

ProPresenter's Media Bin and EasyWorship's Media library both support folders or playlists. Mirror the top-level structure — Lyric Videos, Loops, Countdowns — so a volunteer who knows the folder layout can navigate the software the same way. In ProPresenter, turning on Copy media to library in Preferences stops broken links when files are tidied.

Deal With Duplicates Once

Before you reorganise, find the duplicates. On Mac, a free tool like dupeGuru will find identical files; on Windows, search by file size in Explorer. Keep one copy in the right folder and delete the rest. Don't try to keep the old structure "just in case" — that's how you end up with two libraries.

Write It Down

Put a one-page README.txt in the root folder explaining the structure and the naming pattern. New volunteers read it; existing ones can point at it when someone drops a file in the wrong place. A structure nobody knows about isn't a structure.

Back It Up

The internal drive is for playback; it's not a backup. Sync the Worship Media folder to cloud storage or an external drive on a schedule — and pause that sync during services so it doesn't compete for disk and CPU while videos are playing.

Every Talesoft Digital download is named with the pack, clip number and resolution so it drops straight into a structure like this. Browse the catalogue →
